The service

Quiet Hire is a recruitment assessment tool operated by The Quiet Engine (Victoriam Sales Ltd, trading as The Quiet Engine). The service is currently provided free of charge, with usage limits. Support is best-effort — email enquiries@quiet-engine.co.uk and we usually reply within a couple of days.

Your workspace

Sign-up requires a business email address; one workspace exists per business domain, and colleagues on the same domain share it. The free allowance is lifetime and per business domain: 2 campaigns, 2 assessments, and 50 CV analyses per campaign. Deleting or archiving does not restore allowance. Adding your own Anthropic API key lifts the limits — AI usage is then billed to your key, by Anthropic, never by us.

Candidate data: your role and ours

For candidate data (CVs, answers, recordings, decisions) you are the data controller and The Quiet Engine is your data processor. By uploading candidate data you confirm you hold it lawfully for the vacancy concerned. As processor we:

  • process candidate data only to provide the service, on your instructions;
  • use only the sub-processors listed in the privacy notice (hosting, database, file storage, email, AI text analysis) and will update that list before changes take effect;
  • keep candidate data isolated per workspace and encrypted in transit and at rest;
  • delete candidate data automatically per the retention windows shown in your workspace settings, honour per-candidate erasure immediately, and delete your workspace's data on termination;
  • tell you without undue delay if we become aware of a personal-data breach.

The tool advises; people decide. Scores are computed deterministically from evidence, and no candidate is advanced or rejected except by a human action in your workspace. You are responsible for your own hiring decisions and for providing candidates any notices your jurisdiction requires beyond those built into the tool.

Acceptable use

  • No unlawful processing, including discriminatory screening practices.
  • No uploading of malicious files or content you have no right to hold.
  • No attempts to access other workspaces' data or to disrupt the service.

We may suspend workspaces that break these rules.

Ending things

You can stop using Quiet Hire at any time and ask us to delete your workspace and all its data by emailing us from your workspace owner address. We may withdraw or change the free service with reasonable notice; candidate-data retention and erasure promises survive until all data is deleted.

Liability

Quiet Hire is provided free and as-is, without warranties. To the maximum extent permitted by law, The Quiet Engine's liability arising from the service is excluded; nothing in these terms limits liability that cannot lawfully be excluded. These terms are governed by the law of England and Wales.
